Terms & Conditions
General
These terms of service outline the responsibilities involved when booking a hut or space at The Oasis Townsville. We have developed the following terms and conditions of service to make the facility available to the greatest number of organisations supporting the veteran community.

Booking Preliminaries
It is a requirement that all bookings appoint a booking administrator – this person is responsible for the booking and must accept the following conditions:

Has provided their email and phone number and is contactable at all times during the booking.

Is onsite during the course of the booking, or is you be able to contact someone immediately who is onsite?

Is responsible for any liabilities payments.
The booking administrator must complete an onsite orientation before their first booking, which will include:

Disarming the alarm for public holiday bookings and After Hours bookings

Gaining access to your Hut and room requirements (nothing left in auto doors, swipe card used only, AH Bathroom key and locking policy)

IT Connection run-through and troubleshooting

Emergency evacuation procedure and Homebase ‘housekeeping’ (not smoking on site, etc.)

AH phone number to call if there is a facility issue or emergency.
Cause for a Liability Charge may include:

If your booking is late to exit the hut and security is alerted.

If there is an onsite issue and the Bookings Administrator is unable to be contacted
-
If there is beyond reasonable doubt that the bookings policies have been ignored or disregarded, causing damage to the facility or equipment and/or requiring on-call staff to be activated
The Liability Charge for any breach of the above Terms and Conditions is $250 charged per hour or any time part thereof.
All bookings must complete an orientation before their next event at Homebase

Fees for participation
If your organisation is a business seeking to provide a service to veterans and/or their families, it is important for us to understand the cost to them, if any, and to be advised of any changes.

Cancellations & cleaning fee
Every accepted booking is potentially denied to another group, so we are sensitive to cancellations. After receiving a booking confirmation, you can still cancel at no cost. We require a minimum of 14 days’ notice. If you cancel within 14 days of your booking date, unfortunately, your room hire fee is non-refundable. Please email hello@theoasistownsville.org.au to cancel any booking or reply to your confirmation email.

In the event the space is not left in a clean and tidy state, you will be invoiced $150 for cleaning.

In the event that damages are incurred, you will be invoiced for the cost of the repairs.

Client responsibility—damages, loss and security

The person responsible for the conduct of your activity must undertake a site induction prior to their booking commencing.

The person completing the online booking form is responsible for any loss or damage from the facility during your booking.

Your activity must not involve affixing anything to any part of the building.

Attendees are responsible for the security of their personal belongings.

Any electrical equipment any person (including any external facilitator) brings in, such as laptops, power cords and power boards, must be tested and have a current safety tag attached.
Room set-up

We will set the space/hut up as per your request specified on your hut booking form. Please ensure your preference is clearly expressed in your booking request.

If you want to change the set-up during the day, you are welcome to do so, ensuring not to block any emergency exits.

Due to building and fire emergency regulations and workplace health and safety standards, maximum seating capacities cannot be exceeded.

Café and BBQ facilities onsite

Dirty Boots Café is an integral part of The Oasis Townsville, it is not a separate café. As a registered Charity, any profit from Dirty Boots Café is put directly back into The Oasis Townsville so that we can continue to offer services & programs for the Veteran Community.

No food or drink is to be sold at Homebase, except by Dirty Boots Café or on approval by GM.

Alcohol may be consumed at Homebase upon specific approval of the GM. You will need to identify a person who has a Responsible Service of Alcohol (RSA) certificate.

Liabilities
WAIVER OF LIABILITY FOR THIRD PARTY ACTIVITIES
Townsville Oasis provides a range of services, including but not limited to connecting its participants with organisations, groups, and individuals ("third parties") running activities, events, and gatherings ("activities") in the community. The Townsville Oasis may refer its participants to these third parties and can assist its participants with the registration/application process to attend these activities. These activities may involve inherent risks, dangers and hazards. Participation in such activities is taken at the sole discretion of the attendee. By registering for activities organised and run by third parties, you are aware of the possibility of personal injury, property damage or loss resulting therefrom. The assumption of risk refers to all activities throughout the duration of the activity and includes but is not limited to all transportation, hiking and other outdoor or indoor activities. The Townsville Oasis shall not be responsible or liable for any loss, damage, cost, harm or injury of any sort incurred by you as the result of your participation in activities with third parties.

RELEASE OF LIABILITY, WAIVER OF CLAIMS, EXPRESS ASSUMPTION OF RISK AND INDEMNITY AS EVENT ORGANISER Our events and activities (“Activity/Activities”) include but are not limited to activities organised through third-party organisations, groups, and individuals. These Activities include but are not limited to hiking and other outdoor adventure activities. This document refers to all participants (“Attendees”) of the Activities, be they Townsville Oasis participants or not, adults or children. Whether or not an Attendee is a Townsville Oasis participant or has registered for a particular Activity, by attending any of the Activities, all Attendees hereby affirm, acknowledge and agree to the following. Attendees understand that the organisers, volunteers, staff and members of the Townsville Oasis are not experts and do not hold themselves out as an expert. Attendees understand that during their participation in any Activity, they may be exposed to a variety of hazards and risks, foreseen or unforeseen, which are inherent in each Event and cannot be eliminated without destroying the unique character of the Activity. These inherent risks include but are not limited to, property loss or damage, getting personally lost, trapped or separated from the group, and the dangers of serious personal injury and death (“Injuries and Damages”) from exposure to the hazards of our Activities. Attendees know that Injuries and Damages can occur by natural causes, equipment failure or activities of other persons, animals, insects, plants, our surroundings, group members, event organisers or third parties, either as a result of negligence or because of other reasons. Attendees understand that risks of such Injuries and Damages are involved in outdoor activities and appreciate that they may have to exercise extra care for their own person and for others around them in the face of such hazards. They further understand that on any Activity there may not be rescue or medical facilities or expertise necessary to deal with the Injuries and damages to which they may be exposed. Therefore, when participating in Activities, to the fullest extent allowed by law, Attendees agree to WAIVE, DISCHARGE CLAIMS, AND RELEASE FROM LIABILITY the organisers, volunteers, staff and members of the Townsville Oasis from any and all liability on account of, or in any way resulting from Injuries and Damages in any way connected with its activities. Attendees understand and intend that this assumption of risk and release is binding upon their heirs, executors, administrators and assigns and includes any minors or pets accompanying them on the Activities. All Attendees have read this document in its entirety and freely and voluntarily assume all risks of such Injuries and Damages and, notwithstanding such risks, agree to participate in the Activity they attend under these terms
